1. Who is responsible?

Adopt a Coffee Tree is a trade name of La Casita B.V., Winkelcentrum Woensel 153, 5625 AG Eindhoven, the Netherlands, Chamber of Commerce no. 30204384.

2. Which data do we process?

Depending on how you use the website, we may process your name, address, email address, telephone number, payment and order details, selected tree code, details of a gift-adoption recipient, correspondence and technical data such as IP address and session information.

When you use a personal tree page, we may also process data required to link your account, tree number, camera access and harvest information.

3. Why do we process these data?

We use personal data to fulfil orders and adoptions, process payments, ship coffee, manage personal tree pages and camera access, answer questions and complaints, prevent fraud and abuse, and comply with legal administrative obligations.

Where processing is based on consent, you can withdraw that consent at any time. Where processing is necessary to perform the agreement or meet a legal obligation, we may not always be able to provide the relevant service or delete the data immediately.

4. With whom do we share data?

We share personal data only where necessary with parties that help us with payments, hosting, email, IT, shipping, customer service, administration or the performance of the adoption on the coffee plantation.

MultiSafepay may process payment data. Payment-card data are not stored by this website itself.

We do not sell personal data to third parties.

5. Transfers outside the European Economic Area

Part of the adoption is performed in Colombia. If personal data have to be provided to parties outside the European Economic Area to perform the agreement, we limit this to what is necessary and apply appropriate safeguards where required.

6. Retention periods

We do not retain personal data longer than necessary for the purpose for which they were collected. Data forming part of our financial administration are retained for the legally required period. Contact and service data may be retained longer where necessary for an ongoing adoption, complaint or legal dispute.

7. Cookies and local storage

The website uses functional technologies such as a language preference and session data that are required for the website, forms and checkout to operate correctly.

As long as we do not use analytics or marketing cookies that require consent, we do not display a separate consent banner for them. If we later add such technologies, we will update this policy and the consent settings.

8. Camera images

Cameras on the coffee plantation are primarily aimed at coffee trees and the plantation. We try to keep people and private areas out of identifiable view as much as possible.

Access to camera functions may be logged for security and technical operation.

9. Your rights

To the extent provided by law, you may request access, correction, deletion, restriction or portability of your personal data and object to certain processing.

You can send a request to info@adoptacoffeetree.com. We may ask for additional information to verify your identity.

You also have the right to lodge a complaint with the Dutch Data Protection Authority or, if you live in another EU country, the competent supervisory authority there.

10. Security and changes

We take reasonable technical and organisational measures to protect personal data against loss, unauthorised access and misuse.

We may amend this privacy policy when our services or the law change. The current version is always available on adoptacoffeetree.com.
